The recall system is the life blood of a practice and its effectiveness largely determines your success. Many practices send out a postcard annually to their patients to remind them to call for an appointment and everyone gets the same card and message. These cards are too often ignored. Each patient is different and they want to be treated that way too. Studies have shown a 21% increase in response rate when the mailing is personalized to that patient, where each person gets their own, unique card.
This customized recall card system is what is offered by Visionary Resources. Here are the program’s features:
  • A recall card with a picture that includes the patient’s name embedded in the photo on the front and twice mentioned in the message on the back. People respond to seeing their name. This will get noticed and action is most likely to result. The picture can even be changed with the seasons.
  • The recall message on the back is age-appropriate, since your patients are segregated into five different age groups. There is a different message for each of the different vision stages of our lives.
  • The message gets progressively more firm depending on how many years it has been since they were last in the office. It stresses the importance of routine eye care and motivates those who have been ignoring your old recall cards.
  • If you pre-appoint your patients, each person gets a card with their name and time of their exam printed on a day-timer calendar four weeks before their exam. Since a year has gone by since their last exam, this will get their attention and decrease your no-shows.
  • The messages on the back can be customized by you, or you can use the content which is already written.
The system works by emailing your patient recall list to Visionary Resources each month which will allow for production of your patient’s recall cards which are in turn delivered to your office, ready to have postage applied and to be mailed out. By simply exporting a patient recall list to an Excel spreadsheet and sending it to Visionary Resources, you can experience tremendous office efficiencies and top-notch results from their patient recall program.
